Write a Complaint Letter, Free

A written complaint letter gets a different class of attention than a support ticket. It lands on a desk, it names a deadline, and it signals that a chargeback, an agency complaint, or small claims court is the next step. Ours is free: answer the questionnaire, download the PDF or Word file, send it.

No account required, no watermark. If your situation turns out to be bigger than a complaint, that is what demand letters and cease and desist letters are for.

Sample complaint letter

[Your Full Name] [Your Street Address] [City, State ZIP] [Date] [Company Name], Customer Relations [Company Street Address] [City, State ZIP] RE: Formal Complaint and Request for Resolution Dear [Company Name], Customer Relations: I am writing to formally raise a problem with [product or service, with model or order number], purchased on [purchase date], and to ask that you make it right. Here is what happened. [what went wrong, e.g. the unit stopped working after nine days, and two support calls on [dates] did not resolve it] To resolve this matter, I am requesting the following: [what you want, e.g. a full refund of $X to my original payment method]. Please respond within 14 days of receiving this letter. I have been a reasonable customer and would like to resolve this directly with you. If I do not hear back by the deadline above, I will consider other options, including a chargeback through my card issuer, a complaint to consumer protection agencies, and a claim in small claims court. Please contact me at the address above to confirm how you will resolve this. I appreciate your prompt attention. Sincerely, [Your Full Name]

What makes a complaint letter work

  • Specifics: model numbers, order numbers, dates, and names
  • A short factual story instead of a rant
  • One clear ask: refund, replacement, or repair
  • A deadline, usually 14 days
  • The escalation you will use if ignored

Where to send it

Address it to customer relations at the company's headquarters, not the store. Send it by mail, keep a copy, and note the date. If the deadline passes silently, escalate exactly as your letter promised: your card issuer for a chargeback, your state consumer protection office, or small claims court for larger amounts.
